Policies & Procedures

All campers should come to Camp Encore ready for a fun, fast-paced adventure through the arts. They will receive a drawstring backpack on their first day to carry any items they may need (ex. refillable water bottle, healthy snacks, pencil, socks, etc.). We ask that campers refrain from bringing gum, candy, toys, electronic games and tablets to camp. If they must bring a cell phone, we request that it remain on silent and inside the camper’s bag during classes. The Cathedral Arts Project (CAP) and St. John’s Episcopal Cathedral are not liable for any lost or stolen items. Camp Encore is open to all children regardless of race, religious affiliation or ethnic origin.

LUNCH & EXTENDED DAY

Campers should bring snacks and lunch, including a beverage, from home each day. Items should be labeled clearly with your camper’s name.

Lunch plans are available for $25 per week. Campers will receive a healthy lunch and drink each day and all dietary challenges or allergies can be accommodated.

If your camper forgets their lunch, please alert the camp staff at drop-off. If possible, a meal will be provided at the cost of $7 per day. Meals are prepared the previous day, so this is not a guarantee.

Extended Day hours are available from 2-3:30 p.m. for $35 per week.

DROP-OFF AND PICK-UP

Please drop off your camper no earlier than 8:45 a.m. each day. On the first day of camp, please park in the grass lot at the corner of N. Market and E. Ashley streets directly behind the Cathedral and accompany your camper to check-in.

For both drop-off and pick-up, travel east on E. Church St. and turn right on Shields Place (between the Cathedral and the playground). Camp staff will be present to check your camper in and out each day.

Campers must be picked up between 2 and 2:15 p.m., or 3:30 and 3:45 p.m. if in extended day. There is a $15 penalty for any camper picked up later than the designated times.

Campers may leave the premises only with individuals who have been authorized ahead of time by the parent/guardian who enrolls them in the program.

DRESS CODE

Campers are encouraged to wear comfortable clothing and be prepared to get a little messy. Comfortable pants, gym shorts, sneakers and socks are preferred so students have a wide range of motion. Please avoid flip flops or sandals without ankle straps, crop tops or spaghetti strap tank tops. Campers should also bring a pair of socks each day for dance class. Jackets/sweaters must be clearly labeled with the camper’s name.

BEHAVIOR

Kindness and courtesy are expected from all campers. If a camper does not show respect for other campers, staff, supplies or the Cathedral, or disobeys the rules, he or she will be suspended for the day and parents/guardians will be contacted. If the behavior persists, the camper will be asked to leave the camp until the following year. Fees for the session or following sessions are nonrefundable if your camper is dismissed due to behavior.

PAYMENT PLAN

All fees must be paid in full during the registration process. Campers who sign up for multiple sessions may elect to pay 50% of all fees at the time of registration and the remaining balance by May 25, 2018. Add-on items such as lunch and extended day plans are not eligible for discount and must be paid in full at the time of registration for all sessions.

CANCELLATION

In case of illness or family emergency, a refund of camp fees will be granted, less a $50 deposit, only if CAP is notified in writing of withdrawal at least 5 business days prior to the start of the session. Notification of withdrawal after this deadline will result in loss of all fees paid. Notification of cancellation should be sent to kristin@capkids.org.

SCHOLARSHIP OPPORTUNITIES

Thanks to contributions by CAP donors, a limited amount of one-week scholarships are available for children wishing to attend Camp Encore. Scholarships cover 100% of tuition, lunch and extended day fees for the week of your choice. Fees assessed for noncompliance of camp policies will be the responsibility of the parents/guardians of scholarship recipients. Low-income families and/or families who have undergone recent financial hardship are eligible to apply. Limit of two scholarships per household.

To qualify, please complete an application no later than May 4. All submitted information is confidential and will be viewed only by the scholarship review committee. You will be notified of acceptance via e-mail no later than May 25. Please note, applying for a scholarship does not guarantee your child a space at Camp Encore.
